I. General Instructions

  • This Guide supersedes all previous routing guides and freight handling instructions issued by Pentair.
  • The Guide contains instructions for routing Collect shipments to the Pentair facilities.
  • The instructions apply to all Collect purchase orders issued by Pentair and are to be incorporated in the terms and conditions of the purchase order.
  • Noncompliance with the Pentair routing guide could result in chargebacks to the supplier.
  • Each supplier is responsible for forwarding this Guide to its Logistics Department and other affected individuals responsible for the delivery of product to Pentair.

A. Pallet Requirements

Wood Pallets

  • Suppliers are required to use ISPM 15 certified pallets, when shipping to these Pentair sites: McAllen, TX, Laredo, TX, and Industrial Flow & Technology sites.
  • Prior written authorization from the Pentair Logistics Department is required in order to send a shipment to Pentair on non-certified wood.
 

B. Bill of Lading (BOL) Requirements

3rd Party BillingAll Non-Prepaid shipments must have the below information listed in the 3rd Party Billing section of the BOL.

C. Purchase Order Requirements

Multiple Purchase Orders (PO’s): Multiple PO’s shipping from the same location, going to the same consignee, with the same ship date, must be combined onto one BOL.

II. Collect Routing Instructions

The weight, freight dimensions and piece/pallet count all play a part in determining how a shipment is to be routed. Please review the below mode qualifiers to determine which mode your shipment falls into.

Modes

Parcel

  • Weight
    • The shipment must weigh less than or equal to 150 lbs.
    • The maximum weight of an individual box is 75 lbs.
  • Dimensions
    • Domestic - The dimensions of the largest box must not exceed 130 inches in girth* or 96 inches in length
    • International – The dimensions of the largest box must not exceed 130 inches in girth*
  • *To determine the girth, add up the length (longest side of the package) + (2 x width) + (2 x height) to get the girth.
  • Routing Instructions – If the shipment fits within the above requirements, you are to ship to Pentair using United Parcel Service (UPS). UPS is Pentair’s preferred parcel provider.
    • Please refer to the PO or contact Pentair Logistics to get the correct UPS account # to use.
    • Supplier must receive written authorization from a Pentair Logistics Team Member prior to using a non-preferred provider.

Less than Truck Load (LTL)

  • Weight
    • The shipment should have a weight greater than 150 lbs and less than 10,000 lbs.
  • Dimensions
    • The shipment cannot contain a skid/crate/piece with a dimension greater than 8 feet.
    • The total shipment (single or double stacked) cannot exceed 12 linear feet of a trailer.
  • Routing Instructions
    • If the shipment falls within this category, click the link to get the routing. Pentair Inbound Portal
    • Supplier must receive written authorization from a Pentair Logistics Team Member prior to using a non-preferred provider.

Truckload

  • Please contact Pentair Logistics 48 hours prior to the ship date for routing instructions.

Ocean (FCL/LCL)

  • Please contact Pentair Logistics at least five (5) business days before the ship date for routing instructions.

Expedites, Heavyweight Air or shipments not packaged to withstand normal rigors of a LTL environment

  • Please contact Pentair Logistics for routing instructions.

Note Per NMFC guidelines Item 680 Sec. 1
Sec. 1. (a) The separate descriptions of articles provide the minimum, acceptable packaging requirements, see Note 1. Numbered packages or other packaging provisions (other than 'DOT Specification Number' packages, for which, see DOT's hazardous materials regulations) are authorized for use only when item descriptions contain reference thereto. The definitions of or specifications for packaging requirements are provided in: (1) Items 200 through 299, (2) numbered packages and (3) Note references. The minimum requirements notwithstanding, articles must be tendered for shipment in such a manner as to withstand the normal rigors of the less-than-truckload environment. Whether or not part of the specific requirements, protective packing forms or other packaging materials must be used where necessary to afford adequate protection against damage to the articles being shipped.

Inbound Portal User Guide

Inbound Portal (Shipment Estimate Portal)

The Shipment Estimate Portal provides the user with correct carrier to use based on the shipment’s characteristics. The portal WILL NOT generate shipping documents or schedule pickups.

Login

Using a web browser, navigate to: Pentair Inbound Portal

  1. Enter PENTAIR in the Client ID line
  2. Enter INBOUND in the User ID line
  3. Enter inbound in the Password line
  4. Click the Login button to log into the TMS.

*** DO NOT click on the Vendor Registration link ***

To perform carrier selection:

  1. Click on the Origin Postal Code line and enter the postal code.
    Note: Additional address details do not need to be entered.
  2. Click on the ShipTo line and enter the destination postal code.
    Note: Additional address details do not need to be entered.
  3. Enter the number of pallets to be shipped
  4. Enter the freight class
  5. Enter the total weight of the pallet
  6. Enter the length of the 1st pallet
  7. Enter the width of the first pallet
  8. Enter the height of the first pallet
    As you finish entering the dimensions, you will notice that the rater starts to generate a carrier. If you happen to have more than one skid, please enter the additional information and the system will generate the routing once you are completed.
  9. For additional pallets, click the + ADD LINE DETAIL button
  10. The TMS will generate the carrier name and their published transit time. The transit days listed do not include the day of pickup.
  11. If you find that the transit time is longer than the requested delivery date, you will need to contact Pentair Logistics for additional routing options.
 
 

Create a Bill of Lading

  • Log into the Ratelinx inbound portal with the same login information used to access the routing guide.
  • Click the shipping tab at the top, then Ship by
  • Click on Bestway LTL Rateshop (BWAYLTL)
  • Enter Origin address information, include name of attention to, email and phone number
  • Enter Ship to address information, include name of attention to, email and phone number
  • Enter PO number and/or Order number and/or a Reference to the shipment
  • Enter any special shipment options required for the shipment Enter shipment information including number of pallets, NMFC if known, shipment description, freight class, weight and dimensions
  • Note: if you have multiple pallets with different dimensions and weight you will need to click the "add line detail" to add an additional line
  • Once all information is entered, click in the open area by the + add line detail button
 
  • Then hit show rates to get the preferred carrier
  • This button will not populate if address information is missing
  • To create the bill of lading click Ship
  • You should then see a success message
  • Click View/Print bill of lading

Frequently Asked Questions

  • Are there other compliant materials that can be use when shipping to Pentair?
    Yes, products that are exempt from the standard include alternative materials such as plastic, paper, metal, and engineered wood products such as plywood, hardboard, and oriented strand board.
  • How do I know if my pallet is ISPM 15 treated? What do the letters and numbers mean on an ISPM stamp?
    ISPM treated pallets will have a branding that looks like a wheat stalk.
 
  • Does the routing guide apply to international shipments?
    No, the routing guide only applies to shipments originating and ending within North America (Canada, Mexico and United States). International suppliers should continue to reach out to Pentair’s approved freight forwarder for pickups.
  • Shipments that have a skid/crate/piece with a length greater than eight (8) feet.
    Please e-mail Pentair with the dimensions, origin/destination zip codes and freight class. In most cases, the shipment will still be able to go LTL, we just need to make sure the proper carrier services that lane.
  • 8 hour advance notice for pickups.
    The 48 hour advance notice for pickups only applies to Truckloads or partials. Parcel and LTL shipments can be scheduled on the same day as pickup.
  • Portal Login.
    When logging into the portal, enter the Client ID, User ID and Password and then LOGIN. DO NOT click on the Vendor Registration Button at the bottom of the box.

International Routing Guide When US is Paying Freight

 

For shipments originating in Europe, Middle East and Africa shipping to a destination in North America, please contact C. H. Robinson.

 

For shipments originating in Asia, Australia and India shipping to a destination in North America, please contact DSV.

For any shipments originating from South America to North America, please contact Pentair Logistics.

These instructions supplement the Purchase Order and establish the packing, marking and shipping instructions for all shipments under the terms of FCA Origin door/ Freight Collect.

A. GENERAL SHIPPING INSTRUCTIONS

Any declared value for insurance will be charged back to the supplier.
Do not declare value or insure any shipment. Pentair is self-insured.

PENTAIR WILL NOT BE RESPONSIBLE FOR FREIGHT CHARGES ON ANY INBOUND FREIGHT SHIPPED FROM SUPPLIERS NOT USING APPROVED CARRIERS.

Shipper is responsible to file ISF with the freight forwarder.
This must only be completed and submitted to freight forwarders origin office 72 hours prior to the vessel sailing to be compliant.

All packaging material must be ISPM-15 compliant for international shipping. Any rejected shipments for non-compliant package will be at the shippers cost.

B. OCEAN FREIGHT

Pentair Supplier will notify freight forwarder origin when a pickup is ready. The freight forwarder will arrange pickup with underlying trucker

  • Supplier calls freight forwarder 10 to 14 days in advance of requested pickup date
  • If supplier is unsure if your shipment is considered LCL or FCL, please contact freight forwarder for their guidance
  • Freight forwarder origin acknowledges pickup and consigns truck bill to carrier
  • Supplier sends all necessary documentation to freight forwarder origin office via e-mail 72 hours prior to vessel sailing to ensure AMS & ISF filings can be done
  • Freight forwarder origin office will ensure to have all documentation for that week’s shipment(s)
  • Freight fowarder origin office books in accordance to next available sailing per quoted transit time
  • Incoterms should be FCA origin door or FCA origin port
  • Express bill of lading required

All bills of ladings, shipping documents, cartons and packing slip must contain our purchase order number. Packages not meeting this policy may be rejected or returned at the supplier's expense.

B. AIR FREIGHT

Parcel is defined as a package less than 60 kgs (132 lbs). Please consider the dimensional weight when making your calculation. Unless otherwise advised, please ship using UPS Worldwide Expedited service parcel service.

A package larger than 60 kgs will need pre-approval from your Pentair Purchasing Representative and will need to ship using Pentair's heavy weight carrier. Shipments on pallets must not be shipped using parcel. They will need approval from the Pentair Purchasing Representative to ship as a heavyweight shipment.

PENTAIR WILL NOT BE RESPONSIBLE FOR AIR FREIGHT CHARGES SHIPPED WITHOUT PENTAIR AUTHORIZATION.
